Optrek ("we", "us") provides a reference and record-keeping tool for air conditioning technicians. This policy explains what we collect and how we use it.

Information We Collect

·Account information: your name and email address when you create an account.
·Professional details: your ARC licence number, licence class and expiry, and business details you choose to enter.
·Content you create: job records, refrigerant gas logs, photos you upload (data plates, invoices, job photos), and compliance documents.
·Device and usage data: basic app usage needed to operate and improve the service.

How We Use Your Information

·To provide the app's features: spec lookups, job logging, gas ledger, licence and compliance records.
·To send you reminders you have asked for, such as licence expiry alerts.
·To operate, maintain, secure and improve the service.

We do NOT sell your personal information. We do NOT use your data for third-party advertising or cross-app tracking.

AI Processing

When you use features like invoice import or data-plate scanning, the image you provide is processed by an AI service solely to extract the information for that feature. Images are used to provide the feature and are not used for advertising.

Company (Fleet) Accounts

If you join a company account using an invite code, your licence details, expiry status and job statistics become visible to that company's administrator for workforce compliance management. You can leave a company account at any time from the More tab.

Data Storage and Security

Your data is stored securely and access is restricted. Professional credentials such as licence numbers are handled as personal information under the Australian Privacy Principles.

Data Retention

We retain your records for as long as your account is active or as needed to provide the service and meet legal and record-keeping obligations. You may request deletion of your account and associated data.

Your Rights

You can access, correct or request deletion of your personal information, and withdraw consent, by contacting us. Australian users have rights under the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

Children

Optrek is a professional tool intended for licensed technicians and is not directed at children under 16.

Changes

We may update this policy and will post the revised version here with an updated date.
